Why is demographic data collected for this job application?
UBC is committed to inclusive excellence and obligations to ensure equitable hiring practices in accordance with university policies, government legislation and collective agreements. The demographic data collected at the time of applying to UBC positions is used to create aggregate anonymized Applicant Diversity Reports which help identify opportunities to expand recruitment efforts and remove biases and barriers to equity in the hiring process.
What is the Applicant Diversity Report?
The Applicant Diversity Report is one of the tools and resources available to hiring committees to embed equity principles across the hiring process. The Applicant Diversity Report provides insights into the diversity of the candidate pool which, along with a report on the diversity profile of the hiring unit and identified workforce equity gaps/opportunities, can support efforts to identify and mitigate persistent biases and barriers in employment practices. Hiring committees, upon requesting the Applicant Diversity Report, will receive an anonymized aggregated summary of the representation of designated groups in the applicant pool. Record-level or individually identifiable data from candidates will not be shared. Please visit the UBC Equity and Inclusion Office website for previous Employment Equity Reports for definitions of UBC designated groups and how their anonymized aggregated representation is reported.
Why consent to the use of your Employment Equity Census response for an Applicant Diversity Report?
To promote equitable hiring, external applicants are required to respond to a demographic questionnaire as a mandatory step in the process of applying to any UBC position. However, to reduce the burden on internal applicants, we ask for your consent to use your existing responses to the Employment Equity Census to report on the diversity of applicant pool for this job posting, instead of mandating to complete the same questionnaire for each job application separately.
The Employment Equity Census is the only centralized and standardized process for collection of demographic data on UBC faculty and staff to advance employment equity. If you wish to update your responses to the Employment Equity Census, please visit this link.
How is your information protected?
The information you provide in this Employment Equity Census is collected under the authority of section 26(a) and (c) of the Freedom of Information and Protection of Privacy Act (FIPPA) and treated in the strictest confidence. All data is collected and analyzed by the Equity and Inclusion Office (EIO), and access to individually identifiable information is highly restricted under UBC’s data governance protocols. Applicants’ demographic data will be reported to hiring managers, upon request, only in anonymized aggregate format, and individual case-level data will not be shared.
The purpose of this report is to describe the demographic composition of applicants for individual job requisitions. Candidates are not advanced solely based on their identity (self-identified or presumed); and identity does not influence eligibility, unless there is a predetermined (and advertised) preferential or restricted hiring arrangement.
To learn more about the EIO’s recommendations for use of applicant demographic data, please visit the UBC Equity and Inclusion Office website for the Guide to Equitable Hiring Practices.
